Meeting was omitted due to Holiday Season, January and February meetings took place but workshops conducted by Roy Van der Mul on improving business and marketing skills took up most of the meeting time in January and February.  A motion was made by Terri Wood and seconded by Dale Moore for the Chamber to send a letter appealing a decision to close the elementary school in Lyndhurst.

November  23, 2016
Lyndhurst Fire Training Centre
In Attendance: Terri Dawson, Terri Wood, Ron Rudd, Dawne Fiegen, Tanya Hammond, Mel Magalas, Kim Macintyre, John Sideris.

Roy van der Mull (St. Lawrence College)  was invited to speak to members about what topics members might be interested in with respect to future workshops starting in January. The discussion focused on addressing individual problems of each business as well as how members as a whole can make the region of Lyndhurst and Seeley’s Bay more attractive to visitors. It was decided that Roy would conduct the first workshop in January and base it on the information and feedback that came out of this meeting
There was some discussion on what the Chamber can do for Canada 150 and the general consensus was to support those groups who may already be doing something.
The Chambers use of social media continues to gain in popularity through the use of a  Chamber public Facebook page. Terri Dawson has done an excellent job in managing this page and  creating more public awareness.
There was some discussion on the participants of “Shop n Hop” and the potential to make it grow. Shop n Hop  takes place on December 3rd.

Meeting called to order at 7:35pm
Chamber Election: There were no new nominations or letters of intent received for the board of directors, received was a resignation from Kristina Lewis-Tye resigning from her position as Chamber Treasurer, also received at an earlier date was the resignation of Dale Moore as Chamber Secretary.
Moved by Terri Wood that we maintain the present board of directors as no intent to run was received. 2nd by Terri Dawson
Mel will contact the Directors that were not present at this meeting to let them know and make sure they continue to remain in good standing. Kristina will for a limited time remain as treasurer till a new one is found.
Chamber Facebook: Since the page was opened to the public, there have been many good signs, as an example when the post of the Junction being for sale was running it was viewed 1500 times! Profiles for Chamber member’s businesses have been running, you can have your business profile on by sending it to Terri Dawson. Tanya Hammond is willing to do a profile on your business, you just need to contact her. It was agreed that Terri Dawson will post as she sees fit when it comes to this Facebook page. As this is the Chamber page, sometimes posting of other businesses not a member is acceptable depending on the situation.
Peer Input: The township has agreed to replace all the village welcome signs for Canada 150. There will also be a township wide look to check out the public washrooms for conditions & updates. It was also discussed about property standards, with a possibility of an amnesty day in villages to allow residences to clean up and get rid of large items by either bins or trucks from township.
Canada 150: The Chamber agreed to be involved in the Seeley’s Bay Canada Day celebration either by setting up a booth or being part of the parade. It was also mentioned that the Chamber could do something throughout the year, or possible post plaques on planters or the canoes
Shop n’ Hop: Saturday December 3rd, down in store participation, Terri Dawson is open for any ideas or suggestions to help this stay a success. One suggestion tonight was to have pop up stores! John Sideris has offered his recreation class room for people. Although John wouldn’t charge people there would still be a need to charge so that the ad to advertise this space would be paid for by those wanting to sell their wares. Main Street hardware is also offering space for Artisans in the Seeley’s Bay area. This is a big day for shopping in the villages. To date the stores participating are Wendy’s, Ridgway confections, Wiltse Creek Studio, Junction Restaurant, Main Street Hardware, Lyndhurst Home Hardware, Green Gecko & Wings. If you want information on having an open house that day and want to get into the fun, contact Terri Dawson at the Green Gecko.
Billboard Update: Mel checked out the location at Back Street Dogs on Hwy 15 and found there to be to many trees in the way. So, this spot is a no go.
 
Upcoming items of interest:
Terri Dawson wanted to remind people about the possibility on the closing of Sweets Corners School and how this could have a detrimental effect on Businesses in this area, speaking out on this cause is something we all need to do.
 
Seeley’s Bay Tree lighting will be held on November 25 starting at 6pm, tree will light up at 6:30.
Lyndhurst will have their Christmas gathering on December 4. 
Lyndhurst Parade happening soon, Saturday November 19, needed is a Chamber float!
Remember Remembrance Day. November 11 both Lyndhurst & Seeley’s Bay will be having small parades and placing of wreaths.

Meeting called to order at 7:30

Update: Turkey Fair Chamber booth was set up showcasing a logo sign, handouts for shop n’ hop, and real-estate showcase. Was ok, hard to get excited with few chamber members available for help, more members would have been better, however it is understandable in that businesses are busy. Better handouts for shop n’ hop would be helpful
Treasurer- Accounts are up-to-date and taking into account what has been voted on to be giving out at this point that brings us down to $1800.00 with around $3000.00 coming in for rebilling of insurance to Canada Day, Frost Fest & Turkey Fair. A delay for billing out insurance was due to a problem with the insurance company policy.

Overdue memberships- Mel suggest they send out an email reminding members of their past due account. John Sideris and Ron Rudd have agreed to contact a few in person to remind them.

New items: Shop n’ hop planning is underway, Terri Dawson asks the Chamber to again support this event as they have in the past. It was motioned by Ron Rudd that the chamber supports this event with $500.00 but does not spend anymore chamber money on events, rather wait and see if the council approves our request for funding before we proceed. 2nd by John Sideris
Dawne was wondering as The Nest Egg will not be active in this year’s event if there might be a place for the artisans to set up. Terri will update on this at a later date.

Wendy Banks is planning another Blues / local flavour fundraiser event, and was looking for a way to help with the Lyndhurst / chamber events. This dinner for a small group of 40, would offer local foods with the experience of sitting with the local producers. Wendy would also be looking for a quaint venue to hold the dinner. Terri Dawson agreed to work with Wendy to see what they might do.

Action needs to finally be done for the Lyndhurst Sign Location, we need a place to put it up. Suggestions where made with the possibility of Back Street Dogs or land in which the township owns that is within Land that Earl Thompson owns, Earl has offered us to enter his land to access the stretch of land owned by the township. Mel to inquire with the township. Dale to contact Back Street Dogs.

New directory for 2017 thoughts; bigger web site presence, Chamber members all to have same amount of space for advertising, non-members list name and number. Shrink town information to add chamber events, change colour of background from green this year to another (orange).
Use caution when putting dates or advertising in that this brochure will be released for at least two years.
Workshops scheduled for November are now postponed till January. The instructors will be asked to attend a meeting prior to January so that we might discuss what is being offered.

PEER report – PEER is asking that the township purchase the welcome signs for the villages now rather than later before they decide to change the policy.

Elections –Terri Wood will be asked if she will take control of the election in November. If you would like to run for one of the positions, let us know. – President, vice President, Secretary, Treasurer, director.
Upcoming Events: Lyndhurst Festival of Small Halls this Friday, Anglican church having chicken dinner at 5pm same night. Dinner and music who wouldn’t want this!

Seeley’s Bay having Scarecrow showdown, Library is now running this, register by the 6th, judging on the Thanksgiving weekend. This once again is sponsored by the KEG bar and grill.

1) Meet & Greet: Recap – Ron Rudd reported the Meet & Greet held on April 21 in Seeley’s Bay was a success. Approx 30 attendees, some new faces, great presentations.
2) Spring Real Estate Showcase: discussion of Spring Showcase plans:
a. Head Quarters info:
i. The Junction Restaurant is on board to be the headquarters location, they will provide power, washrooms, buffet lunch($250 budget), promote event on their sign
ii. Ron Rudd to get large map so locations can be marked
iii. Tents can be reserved (free) from township for headquarters. Application needs to be submitted to Kim Goodman
iv. Buffet lunch vouchers will be given to participants that pre-register (to max of $250)
v. Real Estate Agents responsibilities: drop off at least 20 copies of listing fact sheet to Junction Restaurant in the week before the event. Mel to communicate this with agents.
vi. Request local promotional material from Township
vii. Mel in contact w WTC Communications for possible WIFI zone
b. Advertising:
i. PRINTING: Mel to connect w Tori from Allen Graphics and get a quote on design of posters & rack card. Agreed that profession design is worth the expense.
1. Posters (11”x17”) $250 for 500pc (Allen Graphics)
2. Rack cards 4000pc (Allen Graphics)
3. Business cards (possibly Vista Print, Dawne to investigate)
ii. BANNERS: Dawne to investigate. Approx. size 2’W x 5’L.

v. RADIO: Mel connecting w Kingston radio station.
vi. NEWSPAPER AD: Mel to connect w Kingston Whig Standard re: ad in Homes section vii. WEBSITE: Mel to purchase www.LSBSpringShowcase.com and redirect to Chamber website page
viii. FACEBOOK: Mel & Dawne have created a FB page, along w Terri D they will manage the page, please help to share these posts throughout your networks.
ix. ELECTION STYLE LAWN SIGNS: (approx. price $20ea) quantity TBA based on other advertising final numbers.

Treasure unavailable, Kristina relayed that we have received a few more memberships, all monies have been deposited. Dale received 4 additional membership dues that she will pass along to Kristina next week. Kristina will be asked to send out a reminder to pay dues, also at the meet & greet to have materials set up for any members wanting to pay that night. Or sign up.
Mel will give to Kristina the door membership decals to hand out


Update:
Meet & Greet is confirmed for April 20th 7pm to 9pm.
* The Seeley’s Bay community hall has been booked by Dale Moore
* Ron Rudd will arrange the H’orderves
* Dale Moore will email out invites to all area businesses
* Mel will breakdown the present chamber membership list and email out business names to tonight’s members so that they might personally invite them to the meeting.
* Two speakers are confirmed and will be given 15 minutes to speak
* Businesses will be asked to bring a supply of 25-50 brochures or business cards. As in the past they will be displayed on a table for other businesses to pick up. This is the perfect time to pass along your business information.
* A yellow balloon display will be done by Sue Magalas to get word out about the upcoming promotion the chamber is doing June 11. More information on this can be found at the chamber web site.


Yellow Balloon /Spring Showcase promotion is confirmed for June 11th,
* New location with a large tent is being looked at, Mel will contact this new location and confirm at next meeting.
* Pricing on large tents with sides will need to be done
* Businesses will be asked to display their info
* Businesses will be asked to have yard sales or promotions on that date
* Dale will contact Jan Bonhomme about large tents and other possible items we could use
* John Sideris has tables and chairs
* An area boarder for the real estate locations will need to be done
* Sue will be doing grab bags which will hold information and coupons will be available for pickup
* Mel will send out Spring Showcase information to the directors for comment
A meeting in April will be held besides the meet & greet so that we can discuss this event in more detail.




At the meeting in January Guest speakers: Dan Potter & Christine Smith spoke to us about their Business Plan for Eastern Ontario Bluegrass Festival being held May 19 – 23. Responsible for the Music Festival at Turkey Fair Jonas Street they are looking for festival Sponsorship or performance sponsorship. At this point they are looking at the Lombardy fairgrounds but would like to bring this event closer to this area. The chamber agreed to a one time sponsorship of $300.00 - moved by Ron Rudd, seconded by Mel Magalas that we pay this amount in hopes that the Bluegrass Festival gets closer in future years so that local businesses will benefit from the event. Mel will discuss with them in return for this year’s sponsorship they perform during the Spring Showcase event in June.


New Business:
Terri Dawson wanted to give a heads up that the Brockville 1000 Island Travel Vacation Guide contacts will once again be calling on chamber businesses to run ads for the upcoming year. Last year the chamber ran a full page advertisement for the area, and business ads ran alongside this. This is a free wide spread booklet that promotes the area, for more info you can contact Terri Dawson at the Green Gecko, or check the link above.
The chamber will again this year place the full page advertising as moved by Terri Dawson, seconded by Terri Wood that we place the ad and pay the $300.00 advertising cost.

* Teeny Tiny Summit is being held on March 30 at the Seeley’s Bay Community Hall
* Red Canoefest in Seeley’s Bay is June 6
* Pitch-in for the villages is being held April 23,
* May long weekend is Victoria Day in the Villages; this is the perfect time to have yard sales, store promotions, sidewalk sales and more

Treasure Report: Kristina notified Dale that we have 15 new members to date, all monies have been deposited


Correspondence received: There was no new correspondence at this time


Speakers: Bob Burtch sales consultant from ETR media group “easier to read phonebook” was present and even with the few members present he spoke to us about the reasons to advertize in his book. Bob mentioned that a survey was done and it showed that most people over 50 still use the phone books compared to the internet for looking up numbers. Information can be found at www.easiertoread.com. Bob did mention that they will list cell phone numbers for free with your name and address.
Don Ross from FAB experiences was unable to attend but did forward a proposal to the chamber that I will attach to the email for your read. In short 1/5th page costs $75.00, many chamber members already have a listing in this free booklet. If the chamber purchases a page at a cost of $1200.00 members would be able to have their cost lowered from $75.00 to $40.00 per ad, Don also mentions a way in which members could help the chamber lower its cost. Meet & Greet meeting April 20th update, Dale has contacted Kim for the booking of the community hall in Seeley’s Bay, Liz Huff has contacted The Great Waterway to do a presentation, and John Sideris will get his contact info for his two speakers for Dale by next meeting so invitations can be sent out to local businesses. More discussion on this will be done at the next meeting.

Treasure Report: Just over 7000.00 in our account, 2016 memberships are now starting to come in.

Secretary - Correspondence received: No new correspondence at this time


Update:

* Ron Rudd had fun putting in a float in the Lyndhurst Santa parade; he had a few issues at the start but things worked out in the end. There were suggestions about having something at the end of the parade so that those attending the parade had something to hang out for.


* Shop n’ hop: A number of businesses that participated in the event had great reviews for the chamber, a few businesses that did not participate last year want to this year, making it a good event for the chamber to be sponsoring. We also heard from some of the customers shop n’ hopping and they had a great time, trying to get them all in.


* The first Storyfest is this Saturday January 17th, at 2pm “Accessible Wildness” at the Lyndhurst Legion. Plan to attend this event! New Business:
* Guest speakers: Dan Potter & Christine Smith spoke to us about their Business Plan for Eastern Ontario Bluegrass Festival being held May 19 – 23. Responsible for the Music Festival at Turkey Fair Jonas Street they are looking for festival Sponsorship or performance sponsorship. At this point they are looking at the Lombardy fairgrounds but would like to bring this event closer to this area. The chamber will look towards ways of supporting this event in hopes of getting it closer in future years so that local businesses will benefit from the event. * Mel has asked that the Chamber think of what we would like to see done for the local area that he would be able to take to the meetings of the “PEER” (Partnership for Economic Enhancement and Revitalization, this group is looking for long or short term action ideas. We will discuss more on this at a future meeting.

* Looking for a new objective for this year the group talked about possible chamber supported signs in the villages, directional village signs, business & chamber supported signs. More discussion on this will be done at another meeting.
* Our Chamber meeting April 20 will be the next meet & greet held at the Fire hall in Seeley’s Bay. John Sideris & Liz Huff will work to get 3 speakers: one possible being Keys, another a program with the military in that the government will sponsor a military worker, the third will be announced later. Invitations and posters will go out to businesses in the area designed by Dale Moore and Dawne Fiegen. Ron Rudd will be in charge of food. If you have or know of a business that might be interested in this event let us know. Dale to contact the township to book the hall. * John Sideris has a guest speaker about military getting back into the work force retraining program. A suggestion was made to have a night of guest speakers in the future.
* SABARA update, agm meeting 1st impressions reported Seeley’s Bay signage at entrances needs updated, way finding signs are needed and attention to deteriorated homes. All this is know and is in the process of dealing with.

Chamber Minutes/ Sept 30th/16

Attendance: Ron Rudd, Dawne Fiegen, Liz Huff, Terri Dawson, Tori Watson, John Sideris, Rob Taillon, Moira Vanderwerf ,Terri Wood, Kristina Cain, Mel Magalas

                                                                                                               
Kristina gave us an update as to what our balance is in the Chamber account.            


There was some discussion  about the Chamber providing a float for the Santa Claus parade. Ron Rudd is looking into this further, and Mel will send out a newsletter to ask if any members are interested in working on a float.

Terri Dawson made a presentation with respect to “Shop n Hop” which will be held on the first Saturday in December. After some discussion about how the Chamber could become more involved in this event, it was agreed that the Chamber would commit to sponsoring this event. Terri Wood made a motion that the Chamber commit  $500.00 toward sponsoring the “Shop ‘n  Hop”.  The motion was seconded by Rob Taillon and passed unanimously.

The “Spring Showcase” has been scheduled  for Saturday June 12th and the time frame for this event will be from 10:00am til 4:00pm.

Mel provided a list of over 15 real estate agents in the area that are all supportive of the Spring Showcase and indicated that there were more to come.

There will be two host sites; the Legion in Seeley’s Bay and the Legion in Lyndhurst. Ron Rudd will oversee the Legion in Seeley’s Bay and Rob Taillon will oversee the Legion in Lyndhurst. Ron is looking into any conflict with using the Legion in Seeley’s Bay.

It was agreed to have two volunteers at each host site and coffee and /or muffins will be provided. Restaurants in both villages will be encouraged by the Chamber to provide coupons for breakfast and/or lunch specials.

Mel will be acting as the liaison person with the Real Estate Agents.  Those agents involved in the Spring Showcase will be responsible for providing copies (50) of their open house listing to the Chamber, two weeks prior to the event. Business cards should also be made available.

The host sites will have file folders available, which will contain a map and coupons provided by  businesses‘ from  both villages. Upon arrival at the host site, visitors can then select which of the available listings they want to place in their folder.

The Chamber will also look into providing a slide presentation at each host site that will highlight features of both villages.

Tori and Terri will be looking into the different options available for purchasing file folders with the Chamber logo.                                                                            

Dawne Fiegen has agreed to update any information pertaining to the Spring Showcase on to the Chamber Website.

Mel made a point of stressing to those in attendance the importance of encouraging  as many Chamber members as possible to be part of the Showcase. Artisans can put on displays and retailers can have specials and street sales.

Mel informed the Chamber about the cost of mobile signs and felt this was the most effective way of advertising. The strategic locations to place these signs will be discussed further. Radio advertising, flyers and posters will all make up part of the overall Spring Showcase promotion.

This meeting was a special summer meeting to discuss the pros and cons of moving 

forward with the Chambers Spring Showcase. Terri Wood provided some insight 

which led to a more detailed discussion as to whether or not the real estate agents in 

the area would be involved and helpful towards making the Spring Showcase a 

success. It was decided that Mel would speak to the various agents involved to get a 

more definitive answer and positive commitment from the real estate agents who 

might be involved, before moving forward.

Update
  • Seeley’s Bay Red Canoe fest held in June had great weather, less activities as in the past; they had a great turn out. The event was held in the park and on the water. Can the chamber become involved for next year?
  • Canada Day in the park in Seeley’s Bay has one final meeting, fewer volunteers than in the past. They are already prepared for a fun day. Their fireworks are the best in the area. The flyers are now out in the mail.
  • The Lyndhurst Billboard location on hwy 42 has been confirmed. The estimated cost to complete the board is 3000.00. It was moved by Liz Huff and seconded by Susan Magalas that we proceed to install the sign on hwy 42 with the assistance of the volunteers from LRC to install and the chamber will fund the extra $500.00 that is needed. All in favour.

New Business:
  • It was moved by Dodie Elkins and seconded by Terri Dawson to continue with the summer meetings, and to focus on the yellow balloon event and not add more to our plate.
  • The next meeting will be held at Briarlea Kitchen and the August meeting will be held at Wiltse creek studios
  • Yellow Balloon event. Mel had previously sent out a 4 page brief of tonight’s discussion. From this brief the items below have come about.
  • Yellow balloon name needs to be rethought; it doesn’t represent selling homes or businesses
  • Can’t pick the buildings we will have to wait till later next year
  • Will have to have cooperation from sellers as the estate broker can’t be everywhere
  • Do all homes need to be open to the public, it was thought yes…
  • If the estate broker isn’t available it must be the home owner present
  • The best day for this event was to be thought of Saturday
  • Time for this event would be 10-4
  • Avoid Saturdays like father’s day or bass opening
  • The headquarters or central meeting place should be one place rather than two to allow for bigger displays less volunteers needed
  • All estate brokers working in this area will get contacted to see if they want to participate in this
  • We need to advertise all markets, farms, homes, businesses & cottages
  • Advertise the attractiveness of the area, life style, price, quality of life
  • For August meeting: need to think of a name for event
  • Could produce an event page for facebook
  • When a selection of names are received could do a survey monkey for votes from members
  • Signage: what do we want, where are they going
  • Election signage could get them by the 100’s at good prices,
  • On signs use caution on putting dates, so can be used next year
  • What areas are we targeting; do we target Toronto or wait till following year?
  • Part of the money should go toward professional advertizing
  • Could attend real estate shows, cottage shows,
  • Could have a story written from a few people that have moved here “testimonials” and print in 55 magazine or cottage life

Update:
  • Map and Directory – Comments being heard about the new brochure are all great, it was discussed that the remainder of the maps & brochures be left at a spot in Lyndhurst & Seeley’s Bay for easy pickup from Businesses if needed. Locations discussed are Wings & The Nest Egg
  • Business to business meeting held last month follow up – a thank you card will be sent for the use of Camp Hyanto and Mel will discuss the fee with them that the Chamber will pay for the use of it

New Business:

  • Chamber support for Turkey Fair – Terri read a letter from the Turkey Fair for the Chamber support in which the Chamber will have their name listed on this year’s Turkey Fair T-shirts for a $50.00 fee. Moved by Liz Huff and seconded by Dawne Fiegen that we pay the $50.00 fee for advertizing on the t-shirts

  • John Sideris has asked that the Chamber show their support for the Shop & Hop in December and the yard/sidewalk sales in May with advertizing help. It was decided that we need to discuss further if the chamber has the money to put forward for this at this time. Also discussed: if more businesses get on board this might allow for more advertizing money, the Chamber could rent a bus for travel between the villages to show support. If the chamber does advertizing it could mention the chamber businesses in the ads.  Terri Dawson will look into the advertising costs and bring to chamber for a better understanding of where and how the chamber might be involved. As this is not a chamber event it was discussed if it should be one? Also mentioned was the amount of work that has to go into arranging this with the work to design and contact the businesses, if it gets larger it will require a lot more work!

  • Lyndhurst billboard – Time has come to get the second billboard up, as no location has been found on hwy 15 and the chamber is sitting on the money the space that Mensen Farms has offered on hwy 42 needs consideration now. It was moved by Liz Huff and seconded by John Sideris that we spend the $2500.00 to pay to have the sign made and installed. Terri Dawson will contact the sign company and get the estimate for the sign along with contacting the volunteers that helped to erect the first sign for their help on this one. She will update us at the next meeting.

  • Yellow Balloon event – this is the event in which yellow balloons will be placed at business/home/cottages that are for sale in our area on one specific day and they all will hold open houses. It was asked when should it be held, fall or spring? Also a committee will need to be formed as this will take a lot of work. There will need to be a lot of work and time to be done by one or more real estate reps. As there were lots of questions that couldn’t be answered except by a real estate agent, we will have to wait till we can get them to attend a meeting. It was moved by John Sideris and seconded by Dale Moore that we move the event to spring and book a date by September. Also mentioned that we keep on the agendas the need for committee members that we proceed to look into advertizing. Mel will break down the details of what the committee members will be doing for a better understand before they volunteer. So that the villages don’t look like they are a dead town with all the empty spots we will have to make sure we look full, pretty and friendly, having the businesses that are open to assist in some way with the event.

  • New Brockville and the 1000 islands vacation guide is out it has the Chamber advertizing with the Seeley’s Bay & Lyndhurst article, pick up your copy now.
  • Special mention to the advertisement of Singleton Lake Family Campground in the vacation guide
  • Seeley’s Bay retirement home is getting a new paint job!
  • Wings had a large tent for the village yard sales that stood out
  • The Nest Egg had a new spruce up with paint and large banners

Treasure Report: after a detailed explanation of the document handed out, we have 14,978.83 in the bank, estimated spending this year $6710.00 this amount is our normal yearly withdrawals and does not include any new ventures. Our income for 2015 was 4125.00; it was noted to watch spending as we are spending more than we are receiving.

Update:

* Map and Directory are now printed and ready for hand out. Maps need to be distributed to store front businesses. If you haven’t received yours you can contact the chamber and some will be distributed to you or a place to pick them up. It was noted that the maps are a test run so only 500 have been printed the purpose of these maps are to help direct people to a business or village and not just to be handed out freely. Businesses are asked to let us know how this is working and if there is a need for these or will the directory work on its own. All comments for improvements are accepted. More can be ordered if needed.

(Dale has taken some for the Seeley’s Bay area and will distribute)

* Amber Graham from WTC did not attend; they are still working on a project that would allow free Wifi in the villages of Seeley’s Bay & Lyndhurst, she would like to attend once they have gathered all the information needed.

* Website – Dawne has been working on cleaning up the website and asks that the businesses check their information and send her any updates and new photos that they would like to see posted. She is working on some new things and will bring her suggestions to another meeting. This will take some time to get this all updated and asks for your patience but would like suggestions to make it better. You can send changes or suggestion directly to her email at. * Facebook – Terri Dawson has been looking into a chamber member only facebook group that would allow business to business info. This site would only be used to update important information about businesses to other business that would allow this information to be spread faster than normal. As an example if a cottage suddenly became
available for rent, a business was having a special weekend event or a business was in need of something. It is important that we keep up-to-date on what’s happening in our area to be able to spread the word to help out other businesses. She has asked approval for this and to use the Chamber logo and name.

Motioned by Ron Rudd and seconded by Tori Watson that Terri Dawson design the facebook page and use the Chamber name & logo.

* Lyndhurst road sign – As Lyndhurst has been looking for a piece of land along hwy 15 to put up their 2nd road sign hasn’t been found Mensen farm has offered some land on hwy 42 that might do. They have asked that a place on the sign be available so that they would be able to post a directional sign to their business and in return would not charge us for the space. It has been asked that the Lyndhurst Rejuvenation Committee look into this spot to see if it would be a alternative for a sign.

* Yellow Balloon - The Chamber is still unaware how we stand on funding. The purpose of this weekend would be to widely advertize this areas vacant business and homes, asking that the weekend be used for open houses where a yellow balloons would be used to mark the streets where a vacant place would be. Another possibility to get purchasers here would be to offer a luncheon and seminars - anything to show off and use the area.

New Business:

* Carol Fitzpatrick manager of Camp Hyanto spoke of the availability to rent the community hall. The hall holds about 150, they will look to confirm this number and the hall has a large kitchen for use. The hall can be used for gatherings, meetings, weddings and so much more. The Camp is busy from June to Aug but might be able to make arrangements; it is available during the off season. Rental of this building will help with improvements.

* Christmas float – the chamber put a float in the Christmas parade and part of that float was a handmade fireplace that is now stored at Redfish cottages. The fireplace is needed to be moved, we are looking for a storage area that we can put this fireplace till it is needed again. If no space is found the fireplace will be destroyed.

* Canada 150th in 2017 – The chamber should plan on doing something for this, it doesn’t have to be held on Canada day. Suggested was to reenact the canoe trails. We should plan on doing something for this, suggestions are welcome.


* Steering committee – a survey was handed out and the chamber broke into groups to go over this. The final answers will be inputted by Mel into the online survey that had previously been sent to all members.

Treasure Report:    Bank account is at $16,600.00 with no bills owning. $2500.00 of that is set aside for the Lyndhurst sign. Just billed Frost Fest & Turkey Fair their portion of the insurance bill it has been confirmed with insurance that the Turkey Fair holds their own insurance for their parade we are not paying for that nor are we being billed for it; also previously confirmed that we do not hold any insurance for the Seeley’s Bay Canada Day festival.

Update:
Map pads & Directory have gone off to designers at Allan Graphics, awaiting new photos for directory. We are looking for a few good photos with people in them.

Once proofs are available they will be sent to the map/directory committee for a final look along with Mel for a sign off. We are hoping to have them done for the April meeting for hand out.

New Web site update from Mel, we have managed to keep our same address as in the past. Asking that everyone take a look, if you have ideas or comments he would like to hear them, this is an ongoing process and is open to ideas from everyone.

Business to Business – it has been agreed that we will hold a business to business BBQ social before our April meeting that will invite all chamber business and any others wanting to attend giving them a chance to bring bulk information in the form of business cards, rack cards or flyers that can be picked up by other businesses that have the space to be able to display them. We will have a BBQ prior to our regular meeting allowing businesses to socialize and pick up advertizing material; they will then have the option to attend the meeting if they choose. Invites with more detail will be sent out at a later date.

New Business:
  1. Michael Smith from the Gananoque Chamber spoke about 2017 and the 150th Canada Birthday, having a goal to work together for grants associated with this event. Mel has previously met with Mike, together they are hoping the chambers will come together to support each other, for better chamber involvement this could be done possibly by offering discounted dues when your part of one chamber and want to join another is one option. The more businesses we show in our advertizing the better our villages/towns look. Michael has shown interest in joining our chamber. 
  1. Group Advertizing, Terri Dawson has brought forward an advertizing adventure that last year brought 6 businesses together to advertize in the Brockville vacation guide that featured an article about Lyndhurst & Seeley’s Bay. This opportunity is once again being offered.  

Deadline for having all info in is April 15.  25,000 copies will be distributed.

Motioned by Ron Rudd, seconded by Terri Wood that the chamber pays for the full page article about Lyndhurst & Seeley’s Bay promoting the villages and the chamber at a cost of $600.00 plus taxes. The chamber voted on this and all attending where in favour.

  1. Strategic Planning committee, Mel attended the first committee meeting and will keep the chamber up to date on future meetings.
  1. Mel heard more about our funding from Elaine Mallory and it looks like we could receive funding for the yellow Balloon event, the fishing derby and the web site. It is still a wait and see but looking more positive. Mel mentioned that whatever event we decide to do it would be best to plan things out right with no rushing. If we can’t do it this year we will plan longer to do it for next year.

  1. Wifi internet for public. Mel is in talks with WTC regarding possible having wifi sponsored by the chamber located in the two villages for tourists. It would be offered with a sign up type of deal having the tourist go to the web site for password etc. As there are other businesses offering wifi the chamber would not want to interfere in their business. It is not yet understood just what might be offered or how this will be dealt with. Mel will keep the chamber up to date.

Other Business:

Lyndhurst will be holding the plant sale and village yard sales Victoria day weekend.

SABARA is exploring an adventure with 1000 island accommodations “festival of small halls” where musicians will play in small villages during the 1st 2 weeks in Sept.

The Victoria Day Festival “Red Canoe Fest” is cancelled

There will be a smaller version of the red canoe fest held in June on the 6th with Kids & cops, silent poker run & community BBQ.

  Minutes of Lyndhurst Seeley's Bay Chamber, February 26th,2015

Attendance: Mel Magalas, John Sideris, Kristina Cain, Dale Moore, Ron Rudd, Alan & Velma Kelsey, Josh Mensen, & Terri Wood

Meeting called to order at 7:30

Previous minutes: moved by John Sideris, seconded by Ron Rudd to accept the previous minutes as sent out.

Treasurer Report: Kristina updated bank account information, no outstanding bills and is soon billing the Frost Fest & Turkey Fair for their share of the insurance bill. Memberships are still arriving; we are now over the 50 membership mark.

Correspondence received: There has been no correspondence received at this time
Update:
Re-Proposal for funding:
There has been no definite update; we have been approved for funding for our web site also approved was funding toward the new floating dock in Lyndhurst. There is still a lot in the air regarding all funding, Mel will be meeting with Elaine Mallory Director of Planning and Development to see if he can get more information and will update the chamber as information arrives.

2015 Brochure & Tear off Map:
Handed out was a rough draft of what the brochure committee has been discussing to date. They have asked that chamber understands & approves what their intentions are with regards to what they want to show on the map. They plan to use legends to show what businesses offer, to show what a visitor might do when they visit this area and to show enough to keep visitors in the area. The space is limited so by using legends they hope to show a lot in the space given. The committee will meet again to finalize their goals and will then give the information to Allan Graphics. The committee asks that the chamber approves their ideas and give the group the ok to go forward.

The new brochure will have a few changes in that the chamber members will be highlighted and listed before businesses that are not members. A facebook legend will be placed beside the businesses that are on facebook. It was noted that there are businesses that after numerous contact by various ways have not confirmed their information, wanted to become a member or to be a part of the brochure. After months of hard work the committees are hopeful that the brochure won’t contain any wrong or outdated information, the committee will not list those businesses that have not replied. We hope that by printing these brochures more frequent it will allow us to keep more up-to-date and allow businesses to get in on the next printing issue. We will print on the brochure a date for the next issue and contact information.

Moved by Dale Moore, seconded by John Sideris to have the Brochure/Map committee to go ahead with the map as mentioned above, to print the brochure every two years and mention the next update on the brochure.

New Business:
Web site update:
Do we continue with the present web site design and company or do we change? The question has come up as we are presently starting a new year with the company we are with, and if we are changing this is the time to do it.

Mel showed a sample with an online web site called Weebly that he has been working on to show what can be done for a chamber site. With this site it is easy to upload information in a timely fashion, allowing us to keep updated more infrequently. Mel agreed to run this site if we choose to go this route. The cost for this site would be 100.00 compared to 300.00 and would allow members to email information directly to Mel for a quick site update. The only question would be the domain name, Mel will contact the present web site hose to see if it is possible to purchase it or will we need to change it and if so will the present company post a redirection to the new site.

Moved by Terri Wood, seconded by Ron Rudd that we proceed with the new Weebly web site, to be hosted by Mel Magalas.

Mel also suggested that with the ease of this web site the chamber could offer help with businesses that don’t already have one or need an update.

Fishing Derby Proposal:
The Chamber would like to host a fishing derby to be held in Lyndhurst & Seeley’s Bay at the same time. Because John Sideris and Roger White both have experience in running a fishing derby the question was asked could they run this. After some discussion it was decided that Mel would hold a meeting with John & Roger to see what all would be required to run two fishing derbies at the same time.

Questions that needed to be answered what equipment would be needed, how many volunteers would be needed and where do we get them? What time of year would be a good time to run these? If John & Roger aren’t available to run these who could we get, is there someone local?
This will be further discussed at another meeting once the above mentioned meeting has happened.

Calendar of Chamber events for 2015:
A calendar of events will be compiled from events of both villages to see where and how the chamber can get involved. This will also show what the chamber has happening and can be shown on the web site. A rough draft has been compiled but more input is needed, this will be sent out once it is done.

Dale Moore suggested that we hold a meeting of sorts in April for all chamber businesses to get together and pass out quantities of their business cards, or information for those businesses that have places and the ability to hand out information during the peak season. She has asked this because as an example her business hands out information on a daily bases for the area, once we get visitors to the area we can keep them here a while by giving them choices of things to do, places to visit or stay and things to see. More information will follow for a date and place for this event.

Map Update: Committee members consisting of Terri Dawson, Terri Wood, Tori Watson, Kristina Cain & Dale Moore have been contacting local businesses for updated information by emails, mail & phone. New directory will have new photos, updated format & new description of villages. Tear off map will hopefully have planned or suggested day tours for tourists, all depending on time line.

Suggestion to have new directory sent out to residences & business by mail or inserted in local paper.
Window Decal Update: Decals have been received and handed out at meeting, others needing the decal can contact the chamber

 
New Business: Mel has been working on a Chamber presentation to council for an opportunity for funding for some upcoming projects.
Mel had previously sent out his presentations by email for members to view before the meeting, as there is too much detail to list here, you may request a copy

Chamber Fees: There has been some concern with members signing up in the middle to the end of our membership year, it has been motioned and passed that members who join in July or after will get a reduced rate of half price $37.50 for a one time new membership. Chamber memberships are due January of each year, lasting till end of December. It was also motioned and passed that starting in November of each year invoices will be sent out, it has been mentioned that it was easier keep up to date with the memberships when invoices where received.
